Terms & Conditions
These Terms govern your use of the RentFit website, estimation tools and our services for rental-ready interiors, furnishings, appliances and maintenance.

1. Scope of Services
RentFit provides interior design, execution and post-handover maintenance services focused on rental properties. Our core services include:
- End-to-end interior design and execution for handover flats (basic to premium packages).
- Supply, manufacturing and installation of modular furniture (wardrobes, kitchens), built-ins and storage solutions.
- Furnishings: curtains, blinds, mattresses, soft furnishings, lighting fixtures and basic décor.
- Provision and installation of appliances and fittings such as chimneys, hobs, water heaters, exhaust fans.
- Home automation and smart-device integrations (optional, as agreed).
- Half-yearly or annual maintenance contracts (subject to plan selection).
Note: Unless explicitly stated in a signed Work Order, RentFit does not provide brokerage, tenant-finding, or property lease management services.
2. Definitions
For clarity within these Terms:
- "Client" means the property owner or authorized representative who engages RentFit.
- "Site" means the physical address where the works will be carried out.
- "Work Order" means the signed agreement or purchase order specifying scope, price and timeline.
- "Solutions" means any work, supply or installation provided by RentFit.
- "Deliverables" means designs, drawings, renderings, materials and finished installations provided under a contract.
3. Website Use & Access
Use of the RentFit website and subdomains is subject to these Terms.
- To use our online tools you must be at least 18 years old and legally competent to enter into contracts.
- You agree not to submit false information through forms and will keep contact and property details accurate and up-to-date.
- We do not warrant uninterrupted access to the website; scheduled maintenance and unscheduled outages may occur. We will use commercially reasonable efforts to minimize disruption.
- Unauthorized scraping, copying, or republication of site content, including designs and images, is prohibited.
4. Estimations & Pricing
The online estimator and any downloadable quotation are indicative and used for planning only.
Key points:
- Indicative vs. Final: Online estimates are indicative. Final prices will be included in the formal quotation / Work Order following a site survey.
- Price Variations: Prices may change due to market-driven material cost changes, customs/import delays, surplus or shortage of materials, or changes requested by the Client.
- Taxes & Charges: GST, duties, levies, transportation, entry/parking charges, or society administrative charges are billed extra unless expressly included.
- Validity: Quotations are valid for the period stated on the document (commonly 30 days) and may be revised after expiry.
5. Booking, Confirmation & Deposits
A project is considered confirmed only after the Client signs the Work Order and pays the required booking advance.
- Booking Advance: The advance amount will be specified in the quotation. Work and procurement begin only after receipt of the advance.
- Procurement: Custom or long-lead items will be ordered after booking and could be non-refundable.
- Documentation: Clients must provide valid proof of ownership/authorization and site access documents if requested.
6. Payment Terms & Taxes
Standard payment terms are specified in the Work Order; typical schedules include bookings, milestone payments and final settlement prior to or at handover.
- Payments will be made to RentFit’s authorized accounts only. Bank details supplied via official invoices to be used for transfers.
- Late payments may attract interest or delay project timelines. RentFit may suspend work until dues are cleared.
- All prices are exclusive of taxes unless clearly stated otherwise. Applicable taxes (GST) will be charged on invoices.
- Refund processing timelines (if any) are set out in the Cancellation section below.
7. Project Timelines & Delivery
Timelines are estimates and depend on multiple factors. RentFit aims for timely delivery and follows a documented project plan.
- 21-Day Standard: Many standard packages target delivery within 21 days from site readiness, subject to approvals and payments.
- Dependencies: Availability of materials, client approvals, site readiness, society permissions, and weather can affect timelines.
- Delays: In case of delays caused by the Client (no site access, delayed approvals), additional costs and an extended timeline may apply.
- Rescheduling: Reasonable reschedules requested by the client may be handled subject to availability and may attract cost adjustments.
8. Site Conditions, Permissions & Client Responsibilities
Clients must ensure certain pre-conditions and support for efficient execution:
- Ensure the site is unlocked and available during scheduled work hours and handover dates.
- Provide safe on-site storage, electricity and water as required for work (unless otherwise agreed).
- Obtain society approvals, parking permits, lift booking permissions and builder permissions where required. RentFit may assist but the responsibility remains with the client.
- Clear the site of personal valuables or sensitive items prior to work. RentFit is not responsible for personal items lost or damaged on site unless caused directly by these services.
9. Changes, Variations & Change Orders
Clients occasionally request changes after the Work Order is signed. We manage these via a structured change-order process:
- All change requests must be submitted in writing or via email. RentFit will estimate time and cost impact.
- Work will proceed for approved change orders once the cost and timeline adjustments are accepted and any required advance payment is made.
- Changes that require rework of completed scope may be chargeable at prevailing rates.
10. Inspection, Acceptance & Handover
At practical completion, RentFit will notify the Client for inspection and handover.
- The Client will inspect the Deliverables within a reasonable time (usually 3–7 days) and raise any defects in writing.
- Minor snags and punch-list items will be addressed within a mutually agreed timeframe. Major unresolved issues may follow escalation and dispute resolution processes.
- Handover is considered complete when either the Client signs the handover certificate or makes the final payment as per the Work Order.
11. Warranties & Exclusions
RentFit provides warranties subject to the terms below:
- Structural / Manufacturing Warranty: A standard 10-year warranty on manufacturing defects for modular furniture supplied and installed by RentFit (subject to conditions).
- Workmanship Warranty: A typical workmanship warranty for installation defects (commonly 1–2 years depending on the contract).
- Appliances: Appliances supplied through RentFit carry manufacturer warranties. RentFit assists with claims but warranty fulfillment is subject to the manufacturer’s policies.
- Exclusions: Damage due to misuse, negligence, accidents, natural calamities, humidity, pest/termite infestation originating from building structure, unauthorized alterations, or normal wear and tear are excluded.
- Voidance: Warranty may be voided if non-qualified personnel attempt repairs/modifications or if recommended maintenance is not followed.
Warranty claims require proof of purchase, installation reports and the client to be current on any maintenance payments that are part of the agreed plan.
12. Maintenance Services
RentFit provides optional maintenance services according to selected plans.
- Maintenance plans include scheduled visits, minor repairs, adjustments, and performance checks for installations supplied by RentFit.
- Major repairs, damage due to tenant negligence, or third-party product failures may be chargeable.
- Service response times depend on plan level and technician availability. Emergency services, if provided, may carry extra charges.
13. Third-Party Products & Manufacturer Warranties
When RentFit supplies third-party branded products:
- Manufacturers’ warranties govern product defects. RentFit will coordinate support but is not liable for manufacturer defects beyond installation scope.
- Third-party installation or services that are not performed by RentFit are not covered under RentFit warranties unless explicitly stated.
14. Intellectual Property
All designs, drawings, photographs, videos, and technical documents prepared by RentFit are protected by intellectual property laws.
- RentFit retains copyright and all other IP rights to designs until full payment for the project is made. Post payment, the client receives a non-exclusive right to use the implemented design for the property purchased.
- Clients may not reproduce, resell, or distribute RentFit’s proprietary material without prior written permission.
15. Data, Privacy & Cookies
We collect and process personal data to provide our services. See our full Privacy Policy for details. Key points:
- Data types: Contact details, property details, project preferences, site photos, communication logs.
- Usage: For quotations, project management, customer support, marketing (with consent), compliance and fraud prevention.
- Cookies: We use cookies and analytics to improve the user experience. Users may control cookie preferences in their browser settings.
- Third-party tools: We may use third-party analytics, communication and payment providers; their terms and privacy policies apply to their services.
By submitting information through our website or forms you consent to the processing described in our Privacy Policy.
16. Confidentiality
Both parties agree to protect confidential information shared during the engagement.
- Confidential information excludes publicly available info or data already in the recipient’s possession.
- RentFit may use aggregated non-identifying project data for internal analytics and marketing, unless the client explicitly opts out in writing.
17. Limitation of Liability & Indemnity
Limits on liability:
- To the maximum extent permitted by law, RentFit’s total aggregate liability for any claim arising out of or related to the Services shall not exceed the fees paid by the Client for the particular project.
- RentFit is not liable for indirect, special, incidental, consequential or punitive damages (including lost profits, loss of use, or loss of data) even if RentFit was advised of the possibility of such damages.
- The Client agrees to indemnify, defend and hold RentFit harmless from any third-party claims arising from the Client’s breach of these Terms, misuse of deliverables, or inaccurate information provided to RentFit.
18. Cancellation, Termination & Refunds
Cancellation policy:
- Before procurement: Cancellations before material procurement may be eligible for partial refund less administrative charges.
- After procurement: Once materials have been procured or custom-made, cancellations are generally non-refundable.
- Early Termination: Either party may terminate for material breach subject to a written notice and cure period. Financial settlement will be proportionate to completed work and costs incurred.
- Refund timings: Approved refunds will be processed within 15 business days via the original payment method where possible.
19. Force Majeure
Neither party is liable for failure or delay in performance caused by events beyond reasonable control, including but not limited to natural disasters, war, strikes, pandemics, governmental acts, or transportation disruptions.
When a force majeure event occurs, the affected party will notify the other party promptly and both parties will discuss reasonable adjustments to the project timeline or scope.
20. Dispute Resolution & Governing Law
These Terms are governed by the laws of India. Parties will use good-faith negotiations to resolve disputes.
- If negotiation fails, disputes will be referred to arbitration under the Arbitration and Conciliation Act, 1996, with the seat of arbitration in Hyderabad, Telangana (unless otherwise agreed).
- Either party may seek injunctive or interim relief in the relevant courts and the courts at Hyderabad shall have exclusive jurisdiction for issues not subject to arbitration.
21. Miscellaneous
- Assignment: The Client may not assign the Work Order without RentFit’s prior written consent. RentFit may assign to a related entity or successor.
- Notices: Notices must be in writing and delivered to the addresses stated in the Work Order or via the contact methods on the website.
- Severability: If any provision of these Terms is held invalid, the remainder will continue in full force and effect.
- Entire Agreement: These Terms together with the Work Order and any appended schedules constitute the entire agreement between the parties regarding the services and supersede prior agreements.
22. Pre-Delivery Inspection (PDI) Services
RentFit provides a digital Pre-Delivery Inspection (PDI) tool and related services to assist flat owners in documenting and managing snags before handover from builders or tenants.
- Purpose: The PDI service helps owners identify structural, electrical, plumbing, and finishing issues in a newly constructed property prior to occupation or rental readiness.
- Digital Platform: The RentFit PDI platform (
pdi.rentfit.co.in) allows users to log, categorize, photograph, and track snags digitally, and to generate downloadable PDF reports. - Usage & Access: The PDI tool requires registration. User credentials must not be shared. RentFit may suspend access if misuse or false reporting is detected.
- Data Ownership: Data captured in the PDI tool remains the property of the user; however, RentFit may anonymize and use it for product improvement and benchmarking.
- Limitations: RentFit’s PDI reports are visual and non-destructive in nature. They do not constitute a structural or engineering certification. Professional assessments may still be required for major defects.
- Liability: RentFit is not responsible for defects caused by the builder, previous tenant, or third parties. The PDI service is advisory in nature.
23. Vendor, Supplier & Partner Terms
RentFit engages approved vendors, manufacturers, and service partners to execute projects efficiently. These relationships are governed by RentFit’s internal Vendor Code of Conduct and the following conditions:
- Vendor Responsibility: Vendors must comply with quality, safety, and ethical standards set by RentFit. All warranties and product authenticity are the vendor’s responsibility.
- Subcontracting: Vendors or installers may not subcontract without RentFit’s written approval.
- Independence: Vendors are independent contractors. They are not employees or agents of RentFit and cannot represent the brand without written authorization.
- Payments: Vendor payments are subject to milestone completion, quality checks, and documentation as per the purchase order or vendor agreement.
- Disputes: Any quality or delay issues from vendors impacting clients will be handled by RentFit directly to ensure project continuity; subsequent recovery or penalties will be settled internally between RentFit and the vendor.
24. Physical Damage, Site Safety & Loss
RentFit adopts professional care to prevent damage to property during execution. However, due to the nature of on-site work, the following terms apply:
- Site Condition Documentation: Before project commencement, RentFit may document the condition of walls, floors, ceilings, and fittings to record baseline condition.
- Accidental Damage: If accidental damage occurs to the client’s existing property during project work, RentFit will assess and repair or compensate for such damage up to reasonable limits, excluding pre-existing wear and tear.
- Damage Exclusions: RentFit will not be liable for damages caused by unforeseen events such as water seepage, electrical fluctuations, building structural issues, pest infestation, or negligence by building staff or third-party contractors.
- Client Obligations: Clients should remove movable valuables and electronics from the site prior to work commencement.
- Insurance: RentFit maintains operational risk coverage but property insurance remains the client’s responsibility unless agreed otherwise in writing.
25. Paid Maintenance & Service Contracts
RentFit offers paid post-handover maintenance and AMC (Annual Maintenance Contract) services for rental homes to ensure continued upkeep and functionality.
- Scope: Maintenance covers inspection, tightening of fittings, replacement of worn-out hardware, and minor repairs of furniture, fittings, and supplied appliances.
- Exclusions: Major structural repairs, repainting, plumbing or electrical work outside RentFit’s scope, or issues due to tenant misuse are excluded unless specifically added to a custom plan.
- Pricing & Duration: Plans are charged yearly or half-yearly, depending on the coverage selected. Payment in advance is mandatory for activation.
- Response Time: Routine issues are typically attended within 5–7 business days. Urgent issues may be prioritized at RentFit’s discretion.
- Service Visits: Clients must schedule maintenance visits in advance through RentFit’s portal or helpline.
- Cancellation: Paid plans may be canceled within 7 days of purchase if no visit has been availed. After service commencement, refunds are not applicable.
26. Digital Tools, Chatbot & Communication Policy
RentFit’s website, estimation tool, inspection platform, and chat assistants are provided for convenience and transparency. While we aim for accurate information, they are not legally binding offers.
- Chatbot Assistance: The RentFit chatbot or WhatsApp assistant provides automated guidance and may connect you with a human representative. Information shared via these tools is stored securely and used for service-related communication.
- Third-party Integrations: We may use APIs such as Google Places, WhatsApp Business, or ChatGPT for functionality. Your usage implies consent to data handling by these services as per their privacy policies.
- Security: RentFit employs encryption and secure data protocols but cannot guarantee uninterrupted operation or immunity from cyber risks. Users are responsible for maintaining their own device security.
27. Additional & Emerging Services
RentFit may periodically introduce new services aligned with rental readiness, including but not limited to:
- Property Management & Handover Support: Coordinated move-in readiness services (cleaning, inspection, minor repairs) offered optionally.
- Furnishing-as-a-Service: Short-term furnishing or appliance rental plans, if made available, will be governed by specific rental agreements separate from this document.
- Home Automation Add-ons: Any smart device installations will include manufacturer terms and a clear disclaimer of service limitations based on internet connectivity.
- Community Offers: Promotional offers in specific apartment complexes or partnerships are subject to eligibility and may have independent terms displayed during registration.
28. Updates, Revisions & Contact
RentFit reserves the right to revise these Terms at any time, reflecting evolving services and regulatory requirements. Updates will be posted on our website with revised effective dates.
Users are encouraged to review this page periodically. Continued usage of RentFit’s services constitutes acceptance of the latest version.
